No data is passed to any other parties except when legally required to do so or in order to fulfill an aspect of your stay at the Norfolk Hotel.

We are legally obliged by the Immigration (Hotel Records) (Jersey) Order 1999 to obtain and keep the following information for the time period specified:

Provision of information by visitors
Every person of or over 16 years of age who stays at any premises to which this Order applies shall, on arriving at the premises, inform the keeper of the premises of the person’s full name and nationality.

(2) Every such person who is not an EEA national shall also inform the keeper of the premises –
(a) on arriving at the premises, of the number and place of issue of the person’s passport, certificate of registration or other document establishing the person’s identity and nationality;
(b) on arriving at the premises, of the full address at which the person ordinarily resides; and
(c) on or before the person’s departure from the premises, of the person’s next destination and, if it is known to the person, the person’s full address there.

Records to be maintained by keeper of premises
The keeper of any premises to which this Order applies shall –
(a) require all persons of or over 16 years of age who stay at the premises to comply with their obligations under Article 3, above; and
(b) keep for a period of at least 12 months a record in writing of the date of arrival of every such person and of all the information given to him or her by any such person in pursuance of Article 3,
and every record shall at all times be open to inspection by any police officer or immigration officer or by any other person authorised by the Minister for Home Affairs.

Dependent on your method used to book your stay with us we may hold some or all of the following information about you:
Name, Address, Phone number, email address, date of birth, medical or mobility information. We will only use this information in order to perform and fulfill the provision of accommodation and associated services. Where a client has consensually given medical or mobility information in relation to their stay we will only use this information in order to perform and fulfill the provision of accommodation and associated services and our legal requirements. We will not pass your details to any other business or parties unless legally required to do so or the fulfillment of our contract with you requires so. Personal information other than your name, charges, nationality and any requests will be purged from our system on an annual basis.

If you have booked via a travel agent we will only have received your name and any requests you have made regarding your stay.
Where Assistance Forms or similar have been necessary we will also have received details of medical or mobility requirements relating to your stay from your travel agent. This information is crucial to our performance and fulfillment of providing accommodation and associated services. When filling out the required forms you will have given explicit consent to have this information passed to us. This is regarded as special category data. This information is stored in accordance with DATA PROTECTION (JERSEY) LAW 2018 and is stored for no longer than is necessary to perform and fulfill our providing of accommodation and associated services and our legal requirements.

If you have booked online via channels such as booking.com, expedia, hotels.com or similar we will have received your name, email address, where provided address and contact number. Email addresses are often obscured and use the online booking channel’s own extranet as means of corresponding electronically. Where a client has consensually given medical or mobility information in relation to their stay we will only use this information in order to perform and fulfill the provision of accommodation and associated services and our legal requirements. We will only contact you in relation to your reservation at the hotel. Personal information other than your name, charges, nationality and any requests will be purged from our system on an annual basis.

If you have booked accommodation direct with us either by telephone, email or our website we will require your name, in some cases postal address, in some cases email address and contact number. We will only use this information in order to perform and fulfill the provision of accommodation and associated services. Where a client has consensually given medical or mobility information in relation to their stay we will only use this information in order to perform and fulfill the provision of accommodation and associated services and our legal requirements. We will not pass your details to any other business or parties outside of the company unless legally required or the fulfillment of our contract with you requires so. Personal information other than your name, charges, nationality and any requests will be purged from our system on an annual basis.

If you have booked direct with us either by telephone, email or in person and require flights or ferry travel as part of your package we will require your name as it appears on your passport, your postal address, in some cases email address and contact number. If you are travelling with your own vehicle we will require the registration number.
If you determine that assistance is required on medical or mobility grounds you will be required to complete a self-assessment questionnaire.
We have to be able to pass this information, where relevant, to other companies such as Channel Islands Direct so that your needs can be met during transit and also during your stay. This information will be kept in accordance with our own privacy policy and those of the companies involved (see below).

For bookings that include flights we have to pass your name, address and assistance form (if required) to Channel Islands Direct. We use Channel Islands Direct to fulfill our legal obligation of selling package holidays with flights. Channel Islands Direct are ATOL licenced and ABTA bonded. Channel Islands Direct have stringent GDPR policy which can be viewed on their website

For bookings that include ferry travel we have to pass your name and assistance form (if required) to Condor Ferries Ltd. If you are travelling with a vehicle we will require your registration number. This will be passed to Condor Ferries. Where client data stored is electronically access to all devices is restricted and password protected. All devices are kept updated with latest security patches and all reasonable measures are taken to ensure robust security.

Where client data is kept on paper said data is kept securely with reasonable measures taken to prevent unauthorised access.
When necessary, in most cases, 12 months after guest check-out, client data is securely destroyed.

Client name, room number, room requests and where necessary for operational reasons medical or mobility information is shared within hotel departments. Staff with access to this information adhere to the hotel’s privacy policy. This information is not shared with any parties outside of the business.
